How to Connect Flex Rental Solutions to Booked55
You paste two things into Booked55 and click Connect. From then on, new Flex clients come into your CRM on their own.
This is step 3 of 3. It assumes Flex has turned on API access for your account and you have a Flex5 API key. If not, start with requesting API access.
Before you start
- Your Flex5 API key, made by a Flex user who can see and add contacts (clients and companies). How to create it.
- Your Flex address, the one you open Flex at. It looks like
https://yourcompany.flexrentalsolutions.com. - The owner or manager role in your Booked55 workspace. Only owners and managers can connect Flex.
Step 1: Create your Booked55 account
Already use Booked55? Skip to step 2.
- On booked55.com, open Create account.
- Sign up. When you're done, you're in the Booked55 web app.
The Flex sync runs on any active Booked55 subscription. The pricing page has the details.
Step 2: Open Settings → Integrations
In the web app, go to Settings → Integrations (dashboard.booked55.com/settings/integrations) and find the Flex Rental Solutions card.
Step 3: Paste your Flex address and key
- Paste your Flex address, for example
https://yourcompany.flexrentalsolutions.com. Just “yourcompany” works too. - Paste your API key.
- Click Connect.
Booked55 checks the key with Flex before saving it. It stores the key encrypted and never shows it again; the card shows only its last four characters.
What happens next
- Your existing clients come in. Booked55 brings in every client in Flex's Client folder, companies and people, in batches over the first few checks. The card shows the progress, for example “120 of 450”.
- New clients keep coming. Booked55 checks Flex every 10 minutes, day and night. Anyone on your team can click Sync Flex in the top bar to bring new clients in right away.
- Invoices become deals. Each invoice in Flex becomes a deal on its client in Booked55, for the invoice's total and dated the day it was made. Your past invoices come in first, then every new one on the same 10-minute check. Cancelled and void invoices are left out.
- Deals create clients in Flex. When someone creates a deal for a contact who isn't in Flex yet, Booked55 creates the client in Flex's Client folder, the company first and then the person. It shows as entered by the Flex user whose email matches the deal owner.
- Clients land with the right person. A Flex client goes to the team member whose email matches the Flex user who entered it, or to the workspace owner if nobody matches. Tip: invite your team to Booked55 with the email addresses they use in Flex before you connect.
- Nothing comes in twice. A client already in Booked55 is matched by its Flex record, then by email, and linked instead of copied. Booked55 never matches by phone, because companies share office lines.
The sync brings new clients and invoices across. Later edits and deletions aren't copied in either direction, and crew, vendors and venues stay in Flex.
If it doesn't work
Booked55 won't accept the key
The key was revoked in Flex, it was copied with a space at the start or end, or the Flex user who made it can't see and add contacts. The API key guide has the fix for each.
Flex has no Request Access button
Check your Flex plan. Flex Lite has no API access; Flex Enterprise and Flex GTS do.
The sync stopped
If Flex refuses the key later, the sync pauses and the card says so. An owner or manager saves a new key under Change key and it starts again. The sync also doesn't run for a workspace without an active subscription.
A client didn't come in
Only Flex's Client folder comes in, and a client you deleted in Booked55 isn't brought in again. Right after you connect, give the first import a few checks to finish.
Disconnecting
Disconnect on the card stops both directions. Clients already brought in stay in Booked55. For everything the sync does and doesn't do, see the Flex Rental Solutions integration page.
