Flex Rental Solutions CRM integration
Booked55 connects to Flex5, the rental software from Flex Rental Solutions, in both directions. New clients you enter in Flex show up in Booked55 on their own. When your team creates a deal in Booked55 for someone who isn't in Flex yet, Booked55 adds them to Flex. Nobody types the same client twice.
What syncs
From Flex to Booked55
- Clients in Flex's Client folder, both companies and people, come into Booked55 automatically.
- When you first connect, all your existing Flex clients come in, in batches, over the first few checks.
- A company with no people under it gets a contact, so your team can work it in Booked55.
- Each client goes to the team member whose email matches the Flex user who entered it. If nobody matches, it goes to the workspace owner.
From Booked55 to Flex
- When someone creates a deal in Booked55 for a contact who isn't in Flex yet, Booked55 creates that client in Flex, in the Client folder.
- The company goes in first, then the person under it.
- In Flex, the client shows as entered by the Flex user whose email matches the Booked55 deal owner.
Never twice. Each Flex client is held by at most one Booked55 contact or company, and a client is never created twice in either direction. A Flex client that is already in Booked55 is matched by its Flex record first, then by email, and linked instead of copied. Booked55 never matches by phone number, because people at one company often share the office line.
How often it syncs
Booked55 checks Flex for new clients every 10 minutes, day and night. If you just entered a client in Flex and want it now, anyone on your team can click Sync Flex in Booked55's top bar to bring new Flex clients in right away.
Booked55 uses very little of your Flex API allowance. A check that finds nothing new is one request. For comparison, Flex Enterprise and Flex GTS allow 100,000 requests a month, 10,000 a day and 2,000 an hour.
What doesn't sync
- Later edits and deletions. They are not copied in either direction. The sync brings new clients across.
- Crew, vendors and venues. Only Flex's Client folder comes in.
- Clients you delete in Booked55. A deleted client is not brought in again.
What you need
- A Flex Enterprise or Flex GTS plan. Both include API access. Flex Lite has no API access, so it cannot connect.
- API access turned on for your Flex account. You request it in Flex5, and Flex typically approves it in 1–2 business days.
- A Flex5 API key. It must come from a Flex user who can see and add contacts (clients and companies). Flex recommends a dedicated user for this.
- A Booked55 workspace with an active subscription. An owner or manager of the workspace makes the connection. The sync does not run for a workspace without an active subscription.
Connect Flex to your CRM in three steps
Each step has its own short guide. Steps 1 and 2 happen in Flex, step 3 in Booked55.

- 2Create a Flex5 API keyMake the key as a dedicated Flex user that can see and add contacts.Read the guide →

Once you're connected
The Flex Rental Solutions card under Settings → Integrations shows how many clients have come in (for example, “120 of 450” while the first import runs), when Booked55 last checked Flex, and the last client sent to Flex.
Booked55 checks the key with Flex before saving it, then stores it encrypted and never shows it again. The card shows only its last four characters.
If Flex refuses the key
A key Flex no longer accepts pauses the sync, and the card says so. An owner or manager saves a new key under Change key and the sync starts again. Disconnect stops both directions; clients already brought in stay in Booked55.
Questions
Does the Booked55 integration work with Flex Lite?
No. Flex Lite has no API access, so it cannot connect to Booked55. Flex Enterprise and Flex GTS both include API access.
How often does Booked55 sync with Flex?
Booked55 checks Flex for new clients every 10 minutes, day and night. Anyone on your team can click Sync Flex in Booked55's top bar to bring new clients in right away. In the other direction, Booked55 creates the client in Flex when a deal is created for a contact who isn't in Flex yet.
Will the sync create duplicate clients?
No. A Flex client that is already in Booked55 is matched by its Flex record, then by email, and linked instead of copied. Booked55 never matches by phone number, because people at one company often share the office line. Each Flex client is held by at most one Booked55 contact or company, and Booked55 checks Flex before it creates a client there.
Do edits and deletions sync between Flex and Booked55?
No. The sync brings new clients across in both directions. Later edits and deletions are not copied either way, and a client you delete in Booked55 is not brought in again.
Which Flex contacts come into Booked55?
Clients in Flex's Client folder, both companies and people. Crew, vendors and venues are not brought in. A company with no people under it gets a contact in Booked55 so your team can work it.
Who is a new Flex client assigned to in Booked55?
The Booked55 team member whose email matches the Flex user who entered the client in Flex. If nobody matches, the client goes to the workspace owner.
How much of my Flex API allowance does Booked55 use?
Very little. A check that finds nothing new is one request. Flex Enterprise and Flex GTS allow 100,000 API requests a month, 10,000 a day and 2,000 an hour.
What happens if the API key stops working?
If Flex refuses the key, the sync pauses and the Flex card in Booked55 says so. An owner or manager saves a new key under Change key, and the sync starts again.
Which Booked55 plan do I need?
Any active Booked55 subscription. The sync does not run for a workspace without one. The pricing page lists the current plans. See pricing.
